Booking Terms & Conditions

These Booking Terms & Conditions apply to all bookings made with ASM Academy in the United Kingdom, including school programmes, after-school activities, holiday programmes, and enrichment services.

By making a booking, you agree to these terms.

1. About ASM Academy

ASM Academy provides sports, mentoring, enrichment, and student development services for schools, children, and families.

Bookings may be made by:

  • Schools and educational organisations

  • Parents or legal guardians booking activities for their child

2. Making a Booking

a) School Bookings

School bookings are confirmed following:

  • An initial meeting or consultation

  • Agreement of programme scope, dates, and costs

  • Written confirmation from ASM Academy

b) Parent Bookings

Parent bookings are made through our online booking system and are subject to:

  • Availability of places

  • Age suitability for the activity

  • Completion of the booking process and payment

A booking is only confirmed once payment has been successfully processed and confirmation has been issued.

3. Payments

Payment terms will be confirmed at the time of booking.

  • Schools may be invoiced based on agreed payment terms.

  • Parent bookings must be paid in full through the online booking system before attendance.

Failure to make payment may result in the booking not being confirmed or being cancelled.

4. Cancellations & Refunds

a) School Bookings

Cancellation and rescheduling terms for schools will be agreed as part of the programme agreement.

b) Parent Bookings

All parent bookings are final once confirmed.

Due to limited spaces and operational planning:

  • Bookings are non-refundable once completed.

  • Missed sessions cannot be refunded or transferred.

  • Places cannot be held without payment.

ASM Academy reserves the right to cancel or reschedule sessions due to operational, safety, or unforeseen circumstances. In such cases, an alternative session or credit may be offered where possible.

5. Attendance & Behaviour

Children attending ASM Academy activities are expected to:

  • Follow instructions from ASM Academy staff

  • Treat staff and other participants with respect

  • Behave in a safe and appropriate manner

ASM Academy reserves the right to remove a participant from a session if behaviour presents a safety risk or significantly disrupts the activity.

Parents or schools may be contacted if behavioural concerns arise.

6. Health, Medical & Emergency Information

Parents and schools must provide accurate information regarding:

  • Medical conditions

  • Allergies

  • Additional support needs

  • Emergency contact details

ASM Academy staff are not permitted to administer medication unless this has been agreed in writing and appropriate arrangements are in place.

7. Safeguarding & Supervision

ASM Academy operates in line with UK safeguarding and child protection standards.

  • Staff are appropriately vetted and trained

  • Sessions are supervised and age-appropriate

  • Safeguarding procedures are followed at all times

8. Liability

ASM Academy takes reasonable steps to ensure the safety and wellbeing of all participants.

However:

  • Participation in physical activity carries inherent risk

  • ASM Academy cannot be held liable for injuries unless caused by proven negligence

  • Personal belongings remain the responsibility of the participant

Nothing in these terms excludes liability where it cannot legally be excluded under UK law.

9. Photography & Media

Photographs or videos may occasionally be taken during sessions for:

  • Training and quality assurance

  • Promotional and marketing purposes

Where required, consent will be obtained.

Parents or schools may opt out by notifying ASM Academy in writing.

10. Changes to Programmes

ASM Academy reserves the right to:

  • Modify session content where necessary

  • Change staff allocation

  • Reschedule or cancel sessions due to unforeseen circumstances

Where possible, reasonable notice will be provided.

11. Governing Law

These Booking Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the jurisdiction of the courts of England and Wales.
